Step 3 – Update key stakeholders
Earlier on you established how often to communicate with key stakeholders. It is important from both an engagement and support perspective to keep them informed. They can also assist to address problems and issues as they arise.
This is best done using a project status report (this report will also help you in the final phase of your project − Evaluation). The report provides useful data across the life of the project that should be regularly shared with the project team.
There are a few distinct benefits of using a project status report:
- Provide a clear picture of the project successes, challenges and risks.
- It is a great representation of the project lifecycle and helps to determine where to direct resources.
- If the project is not progressing as expected, corrective actions may be taken by stakeholders (e.g. adding funds, increasing resources, extending the timeline of the project).
- This information can then be used to prepare for future projects. It
helps inform expectations, prepare for risks, allocate resources and
anticipate pain points and barriers.
